This article contains instructions which will take effect on Thursday 14.6.2024 in release 2.14.33.
The functionality of project targeting can be used with Pro and Complete service levels.
Project manager can approve hours targeted to projects in a separate view from the approving hours view. Project manager can only see the hours that have been targeted to the project of which the person is the project manager for. Read more about appointing an individual as project manager here.
Project manager can approve the hours targeted to the managed project, regardless of who logged them (whether there is a supervisor-subordinate relationship).
Hours targeted to projects can be approved in Worktime > Work hours > Approve project hours.
NOTE: Project targeted to travel invoices are not approved in this view. When a travel invoice is approved it automatically always approves any targeted projects. Also if a travel invoice approval is removed, it automatically removes the approval from the projects related.
1. Choose a time period and then Select projects.
2. You can select all projects by clicking Select all, or select projects individually by clicking open the parent project and under it choose the projects. If there are a lot of projects, you can use the search engine to filter the search results. After selecting the projects, press View project project hours to approve.
3. If there are project hours to approve dated before the selected time period, you will get a clear notification. After reviewing the project hours, click "Approve: (time period)" and all project hours will be approved, also the hours dated before the selected time period. The background color will change to green for approved project hours. You can remove the approval by clicking Unapprove. Unapproved events are checked for 6 months before the selected time period.
View after approval:
Change selections -button will take the user back to the view where time period and projects can be selected.
Refresh view -button will refresh the projects in the selected time period.
Legend -button shows details of definition of the background colors.
If project hours from an assumed event are approved in this view, the assumed event will be saved as a real event to the service.
4. Project hours can be viewed in detail by clicking on the cell. Highlighting is also used in this view. The indented line means a share of the total. The total is always the top line without indentation. For example, regular working time is separated by event types (work, remote work, etc.). Supplements are separated based on comments and dates. The "No comment or date" line shows the amount of the supplement for which no comment or date has been defined. If the supplement has no comment or date, only the total amount of the supplement is displayed without a separate indented line.
Events without duration are also displayed if they are targeted to a project. Event types such as correction, supplement and note can thus appear with a duration of "00:00"
5. The events related to the projects are listed at the bottom of the pop-up window. Event information can be opened by clicking on the event name. Highlights and indentations are also displayed in the event view.
Supervisors and admins can see a View Event button that allows them to view the event in detail. If a comment has been added to the event, it is also displayed in this view.
Supplements on project hours
When projects and supplements are attached to the event, the supplements appear in the project approval view with the same amount for both projects, regardless of the duration of the project in the event.
Below, two projects have been added to the work event, the duration of both of which is 50% of the total duration of the event. One supplement of €100 has been added to the event.
In project hours approval view, both the first and the second project show a supplement of €100, the amount is not divided in relation to the duration of the projects.
The total value of the supplement is also shown in the events of both projects.
Supervisors and administrators can use the View event -button to open the event, and then view all the details in one view.
